Overview
The Assistant to the COO will provide essential operational and administrative support to the COO and dotted line to the CEO. This part-time role emphasizes supporting company-wide operational efficiency, managing key projects, and ensuring smooth communication with internal teams and external partners. The ideal candidate will have exceptional organizational skills, attention to detail, and the ability to effectively collaborate with diverse stakeholders.

Key Responsibilities
Â
Operations Support:
- Assist with implementing operational policies, procedures, and best practices across departments.
- Facilitate communication with government agencies, such as the Department of Labor, on compliance matters.
- Organize and update operational workflows, as needed.
- Coordinate cross-departmental communication to align on operational goals.
Project Coordination:
- Work closely with the COO to manage project timelines, deliverables, and documentation.
- Act as the primary point of contact for outsourced third-party vendors, handling research, evaluation, and ongoing communication.
Report Management:
- Maintain a rolling calendar of departmental reports, ensuring timely submissions and accuracy.
- Consolidate, organize, and reports in OneDrive for streamlined access.
- Communicate with department heads to resolve open issues and ensure compliance with reporting deadlines.

Systems and Technology:
- Utilize Zoho One applications (including Zoho Desk) to manage workflows, reports, and tasks.
- Leverage QuickBooks Online for basic financial reporting.
- Understand AI concepts and explore integration opportunities into business operations.
- Research and recommend AI tools and platforms while learning and adapting to new technologies.

Requirements
- Education: Bachelor’s degree in Business Administration, Operations Management, or a related field preferred, or equivalent work experience.
- 1-3 years proven experience in an administrative or assistant role.
- Familiarity with Zoho One and QuickBooks Online is preferred but not mandatory.
- Strong organizational skills with attention to detail and the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written.
- Ability to work independently while also collaborating with team members across departments.
- A proactive approach to problem-solving and a willingness to take initiative.
